Policies & Scope of Care

Policies & Scope of Care

Lexi’s Loving Care LLC is committed to providing professional, compassionate, and low-stress mobile veterinary nursing care while keeping the safety and well-being of every pet, client, and provider at the heart of each appointment.

The policies below outline what clients can expect when receiving services with Lexi’s Loving Care.

Important Scope of Care Notice

Lexi’s Loving Care LLC is owned and operated by a Licensed Veterinary Nurse.

Lexi is not a veterinarian and does not diagnose medical conditions, prescribe medications, perform surgery, or independently establish veterinary treatment plans.

Services are limited to veterinary nursing, routine hygiene, and supportive care services performed within the applicable scope of practice. Medical concerns, diagnoses, prescriptions, treatment recommendations, and emergencies should be directed to the pet’s veterinarian.

Certain veterinary nursing services require authorization, a prescription, or an established treatment plan from the pet’s veterinarian before they can be performed.

Assumption of Risk

Working with animals involves inherent risks. Even with careful handling and appropriate safety precautions, pets may move unexpectedly or react to restraint, equipment, procedures, or their environment.

Possible risks may include minor cuts, scratches, nail quicking, stress responses, accidental injury, or other unexpected reactions.

By receiving services from Lexi’s Loving Care LLC, the client acknowledges and accepts the inherent risks associated with animal handling and the requested services.

Medical Emergencies

The pet’s safety and comfort are always a priority.

If an unexpected medical concern or injury occurs during an appointment, the client will be notified as soon as possible.

If a situation appears urgent and the client cannot be reached, emergency veterinary care may be sought when reasonably necessary. Any veterinary expenses incurred remain the responsibility of the pet owner.

Lexi’s Loving Care is not an emergency veterinary service. Pets experiencing a known medical emergency should be taken directly to an appropriate veterinary facility.

Pet Health & Full Disclosure

Clients are responsible for providing complete and accurate information regarding their pet’s health and behavior.

This includes known:

  • Medical conditions

  • Current medications

  • Allergies or sensitivities

  • Previous adverse reactions

  • Fear or anxiety

  • Bite or aggression history

  • Difficulty with restraint or handling

  • Other information that could affect the safety of the appointment

Failure to disclose relevant medical or behavioral information can increase the risk of injury to the pet, Lexi, the client, or others.

Aggressive, Fearful & Unsafe Pets

Lexi’s top priority is the physical and emotional well-being of the pet as well as the safety of everyone involved.

Services may be modified, paused, or discontinued if a pet displays behavior that makes continuing unsafe, including biting, snapping, lunging, striking, attempting to escape, extreme panic, severe resistance, or an inability to be safely restrained.

Depending on the situation, a service may be partially completed, rescheduled, or referred back to the pet’s veterinary clinic.

Dogs with known aggression or bite concerns may be required to wear an appropriately fitted muzzle.

Lexi may also require the owner to speak with their veterinarian regarding pre-visit medications such as trazodone and/or gabapentin when appropriate. All medications must be prescribed by the pet’s veterinarian and administered according to their instructions.

Service fees may still apply for travel, appointment time, setup, and handling already performed.

Right to Refuse, Modify or Discontinue Services

Lexi’s Loving Care LLC reserves the right to refuse, modify, pause, or discontinue services when necessary.

Reasons may include, but are not limited to:

  • Unsafe, aggressive, or highly stressed pet behavior

  • Repeated attempts to bite, scratch, or injure

  • Circumstances that compromise the safety of the pet or another person

  • Failure to disclose significant behavioral or medical concerns

  • Harassment, intimidation, threatening behavior, or disrespectful conduct

  • An unsafe or unsanitary working environment

  • Repeated late cancellations or chronic rescheduling

  • Multiple missed appointments

  • Nonpayment or unresolved outstanding balances

Fees may still apply for travel, time, setup, handling, or services already performed.

Home Access & Safe Working Environment

Clients are responsible for providing a safe, reasonably clean, and well-lit area in which services can be performed.

Pets should be accessible and appropriately contained before Lexi arrives.

Other pets, children, or household distractions may need to be secured away from the treatment area when necessary for safety.

Lexi’s Loving Care LLC reserves the right to modify or discontinue an appointment if the environment is considered unsafe, unsanitary, or otherwise unsuitable for providing care.

Arrival & Appointment Timing

Because Lexi’s Loving Care is a mobile service, travel time can be affected by traffic, previous appointments, difficult patients, road conditions, and other unexpected delays.

A 30-minute arrival buffer before or after the scheduled appointment time may occur.

Clients should be ready for their appointment at the scheduled time.

Once Lexi arrives, clients are provided a 10-minute grace period to answer the door, arrive home, or have the pet ready for service.

If the appointment cannot begin within that time, it may need to be rescheduled and applicable cancellation or missed-appointment fees may apply.

Cancellation & No-Show Policy

Life with pets can be unpredictable, but last-minute cancellations are especially difficult for a mobile business because both appointment time and travel time have been reserved.

To keep scheduling fair and sustainable:

Cancellations with less than 48 hours’ notice may be charged 50% of the scheduled service fee.

No-shows or appointments missed without notice may be charged 100% of the scheduled service fee.

Established long-term clients may receive one courtesy waiver per calendar year for an unexpected cancellation.

True emergencies will always be handled with compassion and may be considered individually at Lexi’s discretion.

Inclement Weather & Environmental Conditions

Appointments may be delayed, rescheduled, or canceled when conditions make travel or services unsafe.

This may include:

  • Snow or ice

  • Flooding or severe rain

  • Hazardous road conditions

  • Extreme heat or cold

  • Power outages

  • Unsafe air quality

  • Road closures, collisions, or other significant travel hazards

Safety comes first. Appointments changed by Lexi’s Loving Care because of unsafe weather or travel conditions will not be subject to cancellation penalties and will be rescheduled as availability allows.

Card on File Policy

A valid credit or debit card must be kept securely on file to schedule and receive services with Lexi’s Loving Care LLC.

Services may not be provided without a valid card on file.

By providing payment information, clients authorize Lexi’s Loving Care LLC to charge the card when applicable for:

  • Services when the client chooses to use the card on file

  • Late cancellation fees

  • No-show fees

  • Other previously disclosed fees permitted under these policies

Payment information is securely stored through the payment processor. Lexi’s Loving Care LLC does not have access to the client’s complete card number.

Payment

Payment is due at the time services are rendered.

Accepted payment methods include cash, credit or debit card, Apple Pay, Zelle, check payable to Lexi’s Loving Care, and Venmo @lexislovingcare.

Outstanding balances must be paid before additional appointments can be scheduled.

Prescription & Veterinarian-Directed Services

Certain veterinary nursing services may only be performed with an appropriate prescription, authorization, or treatment plan from the pet’s veterinarian.

For services such as subcutaneous fluid administration or injectable medications, the pet owner is responsible for providing the prescribed medication or fluids and all necessary supplies unless otherwise arranged.

Lexi’s role is to administer the treatment according to the veterinarian’s instructions. Lexi does not prescribe medications or independently alter veterinary treatment plans.

Suture & Staple Removal

Sutures and staples may be removed only after the pet has been cleared for removal by the treating veterinarian.

If an incision appears excessively inflamed, open, infected, painful, or otherwise concerning, Lexi may decline removal and recommend that the pet be evaluated by their veterinarian.

Lift Harness System

For dogs who need a little extra support during select services, Lexi may use a supportive Doggie Lift harness system.

The lift gently cradles the dog and may help reduce excessive movement while providing additional support during the appointment.

A traditional-sized doorway with sturdy trim on both sides and adequate surrounding wall space is required for safe setup.

Open archways, sliding doors, extra-wide openings, doorways without trim, or damaged door frames may not be compatible.

Use of the Doggie Lift is determined on a case-by-case basis and may not be appropriate for every patient.

Property Damage & Personal Injury

Pet owners are responsible for the behavior of their animals during appointments and may be responsible for property damage or personal injury caused by their pet.

Clients must disclose any known history of aggression, biting, scratching, lunging, or other behavior that could reasonably affect the safety of the appointment.

Photography & Media

Lexi occasionally photographs or records pets for educational, social media, website, or promotional purposes.

Clients who do not want their pet photographed or included in promotional content may notify Lexi’s Loving Care in writing before their appointment.

Liability

Lexi’s Loving Care LLC uses reasonable professional care and safety precautions while providing services.

Clients acknowledge that animals can behave unpredictably and that complications or injuries may occur despite appropriate care and handling.

Nothing within these policies is intended to waive rights or responsibilities that cannot legally be waived under applicable law.

Policy Updates

Lexi’s Loving Care LLC may update policies, pricing, service requirements, or procedures as the business grows and circumstances change.

The most current policies will apply to future appointments.

Please note: The policy copy on this page is provided for reference only. Lexi will send the required Policy & Liability Agreement directly to each client for review and completion prior to services.
